Position Title: Spa Sales Training Coordinator

Position Summary (Purpose): The Spa Manager is responsible for the over-all operation and performance of the spa; including ensuring that the spa meets or exceeds guest service and sales standards for the various services and treatments offered. The Spa Manager is responsible for developing an inspiring team and work environment, meeting all financial objectives for the spa, meeting monthly spa revenue projections as it relates to retail sales, service and treatment sales, and ensuring that expenses are maintained within the budget provided. Primary functions include, but are not limited to: (1) providing outstanding guest service and satisfaction, (2) revenue generation and enhancement, (3) staff management and training, (4) payroll and inventory management, (5) financial management, and (6) special events programming.

Major Functions (Primary Duties and Responsibilities):

  • Provide leadership and direction to all spa employees
  • Collaborate with various departmental teams regarding plans and activity, including the launch of new services designed to meet guest needs, increase guest retention, and grow market share
  • Educate spa staff on procedures and practices related to spa sales and services, ensuring knowledge development, professional approach toward guest services, and adherence to federal state, local and company regulations and policies
  • Participate in the evaluation, testing and implementation of new sales techniques, service offerings and products
  • Ensure smooth and consistent spa operations
  • Facilitate the onboarding and training for new spa staff
  • Facilitate the ongoing training and development for all spa staff
  • Maintain and develop knowledge of all spa products and services for spa staff
  • Appraise, coach, recognize, provide feedback and manage spa staff
  • Recruit, hire, terminate and manage the payroll for all spa staff
  • Conduct weekly staff meetings that are designed to educate, inform and develop knowledge
  • Ensure regulatory compliance for all spa services offered
  • Consistently administer spa policies and procedures
  • Effectively and efficiently manage staff scheduling
  • Ensure spa staff maintain data integrity by properly updating guest records, utilizing the correct codes, pricing structure, and discounts in the point of sale system
  • Provide exceptional guest service and satisfaction standards, ensuring each guest has the ultimate spa experience
  • Create, implement and monitor programs and plans to ensure that monthly spa financial objectives are met
  • Achieve top and bottom line budgeted financial revenue goals
  • Ensure spa revenue and overall performance objectives are achieved as planned
  • Analyze sales figures and forecast future sales volumes to maximize profits
  • Review daily appointment schedule, productivity reports, labor costs and expenses to ensure budget projections are being met
  • Motivate staff to ensure business goals, guest service goals and business objectives are met
  • Maximize operational effectiveness and efficiency with minimal shrinkage and waste by ensuring all spa operational procedures are followed
  • Ensure standards for quality, exceptional guest service, and health and safety policies are met; monitor spa staff performance (ensure staff are on schedule, providing proper guest service, interacting professionally, offering service and treatment upgrades, promoting service and treatment upgrades, cross-promoting services and treatments, offering retail product recommendations, and etc)
  • Conduct monthly sales training with all staff; developing their service, product, and treatment knowledge, as well as their confidence and comfort with the sales process
  • Create and maintain a file of product information and policies and procedures for staff reference
  • Ensure all spa staff are well-trained on job responsibilities and are provided with the tools and information necessary to effectively perform and succeed in their jobs (All new hires must be systematically trained in all protocols and procedures to ensure they meet standards. All training to be documented to the associate’s personnel file)
  • Ensure all spa staff represent the brand as expected by following established dress and grooming codes
  • Manage the inventory process, including but not limited to, monitoring/checking in incoming deliveries, maintaining accurate supply counts, rotating back-stock and ensuring proper stock levels; actively participate in spa inventory counts
  • Respond to guest complaints and comments, minimizing loss of revenue
  • Prepare weekly staff schedule and monitor schedule requests to ensure proper coverage; monitoring hours within budget and controlling overtime
  • Assist in the management of on and off-site events
  • Develop local contacts; schedule spa and wellness events to grow spa guest data base and spa local awareness; be the on-site contact when event takes place
  • Communicate regularly with the spa owner regarding, but not limited to, status of all projects, sales updates, accomplishments, recognition, training information, condition of physical site and repair needs
  • Develop an effective spa marketing plan with spa ownership with the objective of generating leads and prospecting for new guests
  • Nurture current guest base, ensuring loyalty and repeat engagement
  • Manage the implementation of the marketing plan
  • Develop programs and services that are designed to drive sales and support revenue generation
  • Analyze marketing effectiveness and return on marketing dollar
  • Develop a true cost of goods and services, ensuring revenue margins are achieved and marketing plan achieves anticipated results
  • Work within applicable regulatory guidelines and as directed by the Collaborating Physician/Physician of Record and/or the appropriate medical authority
  • Establish a safe and hazard-free environment by maintaining a strong safety record with a minimum number or employee and guest incidents
  • Respond to guest complaints in a timely manner, effectively resolving issues to satisfaction
  • Ensure that all social media comments are managed effectively and efficiently
  • Ensure service excellence by completing regular walkthroughs
  • Assist and coach Spa Receptionist in dealing with guest inquiries.
  • Research and solve guest billing inquiries.
  • Oversee the processing of refunds and resolve booking errors
  • Perform any other duties/requests as assigned.

Qualifications:

  • Possess a thorough knowledge of retail and service sales techniques and strategies

  • Knowledge of current spa services, products and trends
  • One year or more experience
  • Comfortable consulting patients regarding products and services

Physical/Mental Requirements:

  • Standing for extended periods of time
  • Ability to lift at least 30lbs
  • Exposure to blood and bodily fluids
  • Continual use of manual dexterity, gross motor skills, bi-manual dexterity and fine motor skills
